How do you stop a departure being oversold?

Each departure has a fixed number of places, and the site counts down as they sell. When the last place goes, the departure stops accepting bookings. In the rare race where two customers pay for the last place at the same moment, the second one is refunded automatically — that is the one refund Vashana makes without being asked.

What if a departure does not fill and I have to call it off?

Cancel the bookings on that departure from your dashboard and the places are freed immediately. Whether money goes back follows the same policy as any other cancellation: automatic if the customer is inside your “Free cancellation” window, otherwise you refund by hand in your Vipps or Stripe portal. Everyone affected has their contact details in your bookings list.

Can I run tours and rent equipment on the same site?

Yes. The shape is set per item, so one site can sell places on a guided paddle and rent kayaks by the day. Each counts as one bookable item against your plan.

What do I need before I can take payment?

One payment agreement in your own name. In Norway that is Vipps MobilePay, which takes NOK and confirms who your customer is through BankID; everywhere else it is Stripe, which takes cards plus whatever local methods you enable. Apply before you need it — approval can take a few days. You paste the keys into the Payments tab, they are validated as you type and stored encrypted.

What happens when a customer cancels?

Cancel the booking in your dashboard and the time is freed immediately, so somebody else can take it. Whether money goes back is your policy, set per item under “Free cancellation (hours before)”: set a number and anyone cancelling earlier than that is refunded automatically; leave it empty and nothing is refunded automatically — you refund by hand in your Vipps or Stripe portal.

Does Vashana take a cut of what I earn?

No. The money goes straight to your own payment account — we never hold it and we take no commission on a booking or a sale. You pay your payment provider’s normal transaction fee, and your Vashana subscription. That is the whole cost.
